Want to set up a table at the next meeting?

  • Coordinate with an officer so we know that you're coming. Sometimes there are limited spaces that we need to consider and we may not have space to accommodate your request. Sponsors are given priority for space. After that, it's typically first-come-first-served.
  • You'll need to bring your own table in many cases. At some schools, we may be able to take advantage of the cafeteria tables that are available to us, but that's not always the case. In many of our VA sites, you'll need to bring a table with you. (However, if the meeting is scheduled to be in a school cafeteria, assume that we'll have tables available!)
  • Stay compact. In some places, we may be pretty cramped. Plan to occupy about 6' of horizontal space on average. Be a good neighbor to others.
  • Bring your own electrical needs. Extension cords, power strips. Be aware that you may have to share an outlet with others.
  • Keep your area clean. We get fined if we leave the place a mess.
  • Watch your stuff and report anything suspicious to the officers if you see it. We don't typically have unexplained losses, but they do occur from time to time.
  • Bring lots of towels for clean up.
  • Dispose of water outside. We'll tell you where if there's any doubt. Don't use kitchen or bathroom facilities for water disposal.
  • Set up before the public arrives. Somebody from the officer team will try to be on site an hour before the meeting. Therefore, if doors open to the public at 1 PM, we try to be there by noon. 
  • No business / commerce during the speaker's talk. Just before the speaker takes the floor, we ask for all of the vendors to break from discussions, cover their tanks and to turn the lights over their tanks down. The objective is to be a respectful host for our speaker and to avoid distractions.
  • If you're setting up to sell frags, we may ask for you to donate a frag or two to the raffle. Don't be surprised if we do, so come ready.
  • Clean up quickly after the meeting. We're all anxious to get on after the meeting and a speedy, but thorough clean up is always appreciated.

Bumping this thread.  At Kilmer we should be set with tables and will have power distribution, but one outlet at each place.
